Refund & Cancellation Policy

The short version. pramaan.me bills per Event, not per account. An Event fee is fully refundable until the Event's first certificate is issued; after that the fee covers the work already done and isn't refundable. If we ever can't deliver an Event (an outage on our side), the fee is refunded in full regardless. Refunds go back to the original payment method within 7–10 business days.
Clause 01

Scope

This Refund & Cancellation Policy supplements the Terms of Service and governs how charges on Events are handled. Recipients pay nothing — they have no payment relationship with us — so this policy applies only to Organizers and the parent organisations who paid for an Event.

Clause 02

Per-Event billing

When HawkLogic configures an Event for your organisation, the Event carries a fixed price (set in Indian Rupees, plus GST at the prevailing rate — currently 18%) and a quota cap (the number of certificates included in the fee). The fee is payable before the Event's first certificate is issued, via our payment processor Dodo Payments.

One paid Event = one invoice. Issuing more certificates than the quota cap requires a quota-increase invoice (priced at the same per-certificate rate as the original Event); that quota-increase is itself a separate Event-fee for refund purposes.

Clause 03

When the Event fee is refundable

  • Before issuance — full refund. If no certificate has been issued for the Event, you may cancel the Event and receive a full refund of the fee within 30 days of payment. Acknowledged in 1 business day, processed within 3 business days.
  • After the first certificate — non-refundable. Once any certificate has been issued for the Event, the fee is consumed: the Event is live, the render and verification infrastructure is in use, and per-recipient delivery emails have gone out. The fee covers the Event as a whole, not a per-certificate count, so a partial refund based on fewer-than-quota issuance is not available.
  • Event cancelled by us. In the rare case we cannot deliver an Event due to an outage on our side, the fee is refunded in full regardless of issuance.
  • Duplicate or erroneous charge. If you're charged twice for the same Event, or charged for an Event that was never created, contact us within 90 days and we'll refund without question.
Example. You pay INR 1,499 + 18% GST for an Event with a 100-certificate quota cap. The camp is called off before it runs — no certificate was issued — so within 30 days you cancel the Event and receive a full INR 1,499 refund (GST treated per the rules below). If the camp had run and even one certificate had been issued, the fee would stand whether 1 or 100 certificates went out.
Clause 04

What's never refundable

  • Events where any certificate has been issued — once we've rendered a certificate, generated its hash and QR, and published its verification URL, the work is done.
  • GST on a non-refundable fee — GST is collected on behalf of the Government of India and remitted at the end of each filing period; it cannot be recovered on a fee that is not itself refundable.
  • Custom or onboarding services — if your Event-fee bundles bespoke template design, white-glove onboarding, or similar professional services, those services are non-refundable once delivered, even if the Event itself is later cancelled before issuance.
Clause 05

Future SaaS plans

We may introduce self-service subscription plans (monthly or annual organiser accounts) in future. When we do, this policy will be updated to cover their refund terms, and existing per-Event customers will be given at least 30 days' notice before any change to how their billing works. Per-Event billing will remain available for at least 12 months after any new plan launches.

Clause 06

How to request a refund

  1. Email founders@hawklogicsystems.com from the address registered on your Organizer account.
  2. Include the invoice number(s) of the purchase(s) you'd like refunded.
  3. Optionally tell us why — not required, but it helps us improve.

We'll acknowledge within 1 business day and confirm the refund amount within 3 business days.

Clause 07

Refund timeline & method

Approved refunds are processed back to the original payment method via Dodo Payments:

  • Card / UPI / Net-banking — refund initiated within 3 business days; lands in 7–10 business days depending on the issuing bank.
  • Bank transfer (for organisations invoiced offline) — refund initiated within 5 business days; lands in 2–3 business days.

We will not refund to a different account or person from the one that paid.

Clause 08

Disputes

If you disagree with a refund decision, you may escalate to our Grievance Officer at founders@hawklogicsystems.com. See the Grievance Redressal page for full procedure and timelines.

You also have the right under the Consumer Protection (E-Commerce) Rules, 2020, to raise consumer disputes through the appropriate Consumer Disputes Redressal Commission.

Clause 09

Account cancellation

You can close your Organizer account at any time:

  • From the dashboard — Settings › Account › Close account.
  • By email — from your registered address to founders@hawklogicsystems.com.

Closure is processed within 24 hours. Any Event fee still eligible for refund (per Clause 3) is refunded automatically on closure. Certificates already issued continue to verify on pramaan.me/c/<id> for at least one year after closure, whether or not the account stays open — verification never depends on a paid plan.
