Terms of Service

The short version. pramaan.me is a SaaS for issuing event certificates that recipients self-fill on-site against an event code. By signing up as an Organizer, you agree to these terms. By using the recipient sign-up page, the recipient agrees to a narrower set of these terms (only sections 6, 7, 11, 12, 16). You can leave at any time; you only pay for certificates we issue on your behalf.
Clause 01

Definitions

In these Terms, the following words have specific meanings:

"We", "us", "pramaan.me", "the Operator"
HawkLogic Systems Private Limited, a company incorporated under the Companies Act 2013 (CIN U30305KA2024PTC194380; GSTIN 29AAHCH5976L1ZQ; DPIIT registration DIPP193280), registered at HD-80, Manyata Redwood, WeWork India Management, Venkateshapura, Bangalore North, Bangalore — 560045, Karnataka, India.
"You", "Organizer"
The natural person or legal entity that creates an account on pramaan.me to issue certificates.
"Recipient"
An individual who self-fills the recipient sign-up page against an Event Code provided by an Organizer to obtain a Certificate.
"Certificate"
A tamper-evident PDF document, with an embedded QR code linking to a Verification URL, that we issue on your instruction.
"Verification URL"
A publicly-accessible URL of the form pramaan.me/v/<hash> that displays the genuineness of a Certificate and its audit trail.
"Event Code"
A six-to-ten-character alphanumeric code we generate for each Event you create; recipients enter it to begin self-issuance.
Clause 02

Eligibility

To create an Organizer account, you must be at least 18 years old and either (a) acting on your own behalf as a natural person, or (b) authorised to bind a legal entity (society, trust, company, NGO, partnership). By signing up, you represent that the information you provide is accurate and that you have authority to issue certificates on behalf of the named issuing organisation.

Recipients of certificates do not need to be 18, but minors aged under 18 must have parental consent before submitting personal data, and event organisers must obtain that consent before issuing the Event Code to minors.

Clause 03

Your account

You are responsible for all activity on your Organizer account, including activity by anyone you give access to. You agree to keep your sign-in credentials secret, and to notify us promptly at founders@hawklogicsystems.com if you suspect unauthorised access.

One natural person or legal entity may not maintain more than one Free-trial account without our written consent. We may suspend duplicate trials at our discretion.

Clause 04

The service

pramaan.me provides four primary functions:

  1. Event creation — you create an Event, choose or upload a Certificate template, and receive a six-to-ten-character Event Code.
  2. Recipient self-issuance — recipients enter the Event Code on a mobile-first portal, fill in the fields you configured (name, email, optional phone, optional photo), and we generate a Certificate on their device within a few seconds.
  3. Tamper-evident sealing — every Certificate is hashed (SHA-256), associated with a Verification URL, and digitally watermarked. We do not currently anchor certificates on a public blockchain in v1.
  4. Public verification — anyone with the QR or URL can confirm a Certificate's genuineness on the Verification URL without an account.

We may add, remove, or modify features at any time. Material changes will be announced via your registered email at least 7 days before they take effect.

Clause 05

Billing

pramaan.me bills per Event, not per Organizer account. When you create an Event, a HawkLogic representative sets the Event's plan (the pricing label), the price in Indian Rupees, the certificate quota cap included in the price, and the applicable GST rate (presently 18%). The resulting invoice is associated with the Event and is paid by the Organizer before the Event's first certificate is issued.

Payment. Invoices are paid via Dodo Payments, our card / UPI / net-banking processor. Card details are entered directly into Dodo's PCI-DSS-compliant checkout iframe; we do not see or store card numbers. We do retain the Dodo payment and transaction identifiers against the Event's billing record for reconciliation and refund handling.

GST & invoicing. All prices on the Event invoice are quoted exclusive of GST. GST is charged at the prevailing rate and a GST-compliant tax invoice is issued in the name of the paying organisation, bearing our GSTIN 29AAHCH5976L1ZQ. The Organizer is responsible for providing accurate billing information (legal name, GSTIN where claiming input credit, registered address).

Quota. Each Event is provisioned with a quota cap; certificate issuance up to the cap is included in the paid fee. If the Event needs to exceed its cap, the Organizer may request a quota increase, which is invoiced separately at the same per-certificate rate as the original plan.

Future SaaS plans. We may introduce self-service subscription plans (e.g. monthly or annual organiser accounts) in future. When we do, this clause will be updated and existing per-Event customers will retain the option to continue on per-Event billing for at least 12 months.

Refunds and cancellation are governed by our Refund & Cancellation Policy.

Clause 06

Acceptable use

You agree not to use pramaan.me to:

  • Issue certificates for events that did not happen, attendances that did not occur, or qualifications that the recipient does not actually hold;
  • Impersonate any person, organisation, government body, or accreditation authority you are not authorised to represent;
  • Issue certificates with content that is unlawful, defamatory, obscene, hateful, or that incites violence;
  • Upload templates, logos, or signatures that infringe a third party's trademark, copyright, or right of publicity;
  • Collect recipient data beyond what is necessary for the event, or use that data for purposes other than those disclosed at the point of issuance;
  • Interfere with the service, attempt to bypass rate limits, or reverse-engineer the platform.

We reserve the right to revoke any certificate that, in our reasonable judgement, was issued in violation of these terms, and to suspend accounts that demonstrate a pattern of misuse. Revocation is reflected on the Verification URL immediately.

Clause 07

Recipient data & consent

When you set up an Event, you specify which fields to collect from recipients. You are the data fiduciary for that personal data under the Digital Personal Data Protection Act, 2023; we are the data processor acting on your instructions.

As the data fiduciary, you are responsible for:

  • Obtaining valid, informed consent from the recipient at the point of data collection, in the manner required by the DPDP Act;
  • Providing the recipient with the notice required under Section 5 of the DPDP Act (including the purposes of processing, the recipient's rights, and the contact of your Data Protection Officer, where applicable);
  • Only requesting fields that are reasonably necessary for the purpose of the certificate.

We provide tooling for you to meet these obligations — including a default consent notice template — but the legal responsibility sits with you as the data fiduciary. We will assist with data-subject requests at no cost.

Clause 08

Your content & templates

You retain all rights to the templates, logos, signatures, and copy you upload. You grant us a worldwide, royalty-free, non-exclusive licence to host, copy, and render that content solely to provide the service to you and your recipients.

Recipients retain rights to any photo they upload during self-issuance. By uploading, they grant you and us a licence limited to (a) rendering the certificate, (b) displaying the certificate on the Verification URL, and (c) operational logging and audit. We will not use recipient photos for marketing, model training, or any other purpose without separate explicit consent.

Clause 09

Intellectual property

The pramaan.me platform — including the source code, design system, brand marks, default templates, and the Verification URL format — is owned by HawkLogic Systems Private Limited. You may use it only as permitted by these Terms. The pramaan.me wordmark appears on Free-trial certificates and is removable on Pro and Org plans.

Clause 10

Service availability

We target 99.5% monthly uptime for the issuance and verification endpoints, measured outside scheduled maintenance windows. Scheduled maintenance, if any, is announced at least 48 hours in advance via the dashboard banner and on status.pramaan.me.

Per-Event billing does not include service credits for outages in v1. Where we cannot deliver an Event due to a sustained outage on our side, the Event fee is refundable in full under Clause 3 of the Refund Policy, regardless of whether any certificates were already issued. Organizations on bespoke master agreements may negotiate service credits separately.

Clause 11

Disclaimers

The service is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.

pramaan.me does not verify the underlying facts represented on a certificate — whether you actually attended the event, whether you actually donated blood, whether you actually completed the workshop. We verify only that a certificate was issued by the named Organizer on a specific date and has not been tampered with since.

Clause 12

Limitation of liability

To the maximum extent permitted by law, our total aggregate liability arising from or related to these Terms in any twelve-month period will not exceed the greater of (a) the amount you paid us in the preceding twelve months, or (b) INR 10,000.

We will not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages, including loss of profits, loss of business, or loss of data, even if we were advised of the possibility of such damages.

Nothing in these Terms limits our liability for gross negligence, wilful misconduct, fraud, or any liability that cannot be excluded under Indian law.

Clause 13

Indemnity

You will defend, indemnify, and hold us harmless from any claim, demand, loss, or liability arising out of (a) your breach of these Terms, (b) your or your recipients' content, (c) your violation of any applicable law in your use of the service, or (d) any third-party allegation that a certificate you issued misrepresents the underlying fact.

Clause 14

Termination

You may close your account at any time from the dashboard, or by emailing founders@hawklogicsystems.com. Closure takes effect immediately; pre-paid credit is refundable per the Refund Policy.

We may suspend or terminate your account for breach of these Terms, legal compulsion, prolonged inactivity (over 24 months with no Events created or accessed), or risk to other users. We will give you 14 days' written notice except where immediate suspension is necessary to prevent harm or as required by law.

Certificates issued before termination remain valid and verifiable on the Verification URL; the audit trail and verification page persist independently of your account.

Clause 15

Changes to these terms

We may revise these Terms. For material changes affecting Organizer obligations or fees, we'll email you at least 30 days before the change takes effect. Continued use after the effective date constitutes acceptance. If you don't accept, you may close your account and receive a refund of pre-paid credit.

Clause 16

Governing law & disputes

These Terms are governed by the laws of India. Subject to the dispute resolution process below, the courts at Bangalore, Karnataka have exclusive jurisdiction.

For disputes other than those involving urgent injunctive relief, the parties will first attempt to resolve the dispute through good-faith negotiation for 30 days, then through mediation under the Mediation Act, 2023. If unresolved after a further 30 days, either party may refer the dispute to arbitration under the Arbitration and Conciliation Act, 1996. The arbitration shall be conducted by a sole arbitrator, in English, seated at Bangalore.
